Approval Chains

Approval chains require sign-off from one or more people before an offboarding moves forward. A chain is just an ordered list of steps - a typical one might be Manager → HR → Legal, but you can build any sequence you need, up to 10 steps. This is a Team and Enterprise plan feature.

How it works

Each step targets either a role (HR, Manager, Admin, Superadmin, or Legal - anyone holding that role can act on it) or a specific person. When an offboarding is created with a chain attached, it sits at step one until an eligible approver approves or rejects it. Approving moves it to the next step; once the last step is approved, the offboarding proceeds normally. Rejecting at any step ends the whole request - it doesn't just fall back to a previous step - and the initiator is notified with the reason.

You can optionally give a step an SLA in hours. If nobody acts within that window, PurpletGo doesn't auto-approve or reassign anything - it just sends the approver(s) a reminder email and flags the step as SLA-breached in the audit trail.

Assigning a chain

An org can have one default chain (set in Settings → Approval Chains), which applies automatically to new offboardings. When someone starts an offboarding, they can also pick a different chain for that one record instead of using the default. There's no way to set a chain per offboarding type or apply one to a whole batch - bulk-imported offboardings skip the approval step entirely and are created directly.

Building a chain

Open approval chain settings

Navigate to Settings → Approval Chains and click New Chain. Only Superadmin, Admin, or HR can create or edit chains.

Name it

Give it a name like "Standard Involuntary" or "Executive Offboarding" - this is what shows up when someone picks a chain for a record.

Add steps

For each step, add a label (e.g. "HR Approval"), then choose whether the approver is a role or a specific person, and optionally set an SLA in hours.

Save

Save the chain, and mark it as the org default if it should apply automatically going forward. Editing a chain later only affects offboardings created after the change - anything already in progress keeps following the chain as it was when it started.

Delegating your approvals

If you're going to be out, you can delegate your pending approvals to a colleague for a date range from Settings → Approval Chains. While the delegation is active, that colleague can approve or reject anything that would otherwise be waiting on you or your role.

Audit trail

Every approval, rejection, and SLA breach is written to the offboarding record's audit log with a timestamp and who acted.
