Offboarding

The Offboarding Board is the heart of PurpletGo. It's a kanban view of every active and completed departure at your organization.


Offboarding stages

Every offboarding moves through five stages in order:

Only Super Admins and Admins can move a card backwards through stages. Everyone else can only advance forward.


Creating an offboarding

Click Start Offboarding on the board header. The wizard has four steps:

  1. Employee info - pick someone from your directory (auto-fills their role and department), then set a resignation date, last working day, and separation reason (resignation, termination, layoff, retirement, or contract end)
  2. Select apps - choose which connected integrations to revoke access to
  3. Assets & checklist - set an asset return deadline, and, on Starter plan and above, apply a checklist template (Free plan orgs get a default 6-item checklist instead)
  4. Review - confirm the details and create the record

The new offboarding starts in Notice Period.

Plan limits

Your plan caps how many active (non-completed) offboardings you can have running at once:

Advancing stages

Click the advance arrow on a card to move it forward. PurpletGo enforces two gates along the way:

  • IT Revocation → Asset Recovery: every app selected for revocation must be marked revoked first
  • Asset Recovery → Completed: every asset must be marked returned, and you need to click Confirm to lock that in

Filtering & search

The toolbar above the board lets you filter by department, separation type, or stage, plus a few quick filters (Active, Overdue, Legal Hold, Exiting This Week). You can also sort by exit date (ascending or descending) or by name.


Bulk actions

Check the box on multiple cards and a bar appears with:

  • Advance Stage - moves every selected card forward one stage
  • Revert Stage - moves every selected card back one stage
  • Delete - permanently removes the selected records (visible to Super Admins and Admins only)

Bulk actions require the Starter plan or above, and only Super Admins and Admins can run them - even though Advance/Revert buttons are visible to everyone with a selection, the request is rejected server-side for other roles.

⚠️

Bulk deletion is permanent and cannot be undone.


Legal hold

Any offboarding can be placed under legal hold from the card's menu → Apply Legal Hold. A record on legal hold shows a Hold badge on its card and is excluded from the automated data retention job, so it won't get anonymized on schedule. Legal hold does not currently block the record from being deleted outright, so it's best treated as a "don't auto-purge this" flag rather than a lock against manual deletion.


Cloning an offboarding

If someone's offboarding needs to be redone (say, a rehire who leaves again), open the card's menu and choose Clone. This creates a new record in Pending with a (Copy) suffix on the name, the same apps and separation type, an exit date 30 days out, and a copy of the checklist items.


Offboarding detail view

Click any card to open the full record. From here you can:

  • Checklist - check off tasks, set due dates and SLA targets, and see AI-suggested additions (if the AI assistant feature is enabled)
  • Notes - add internal notes for the team
  • Assets - track and mark assets as returned
  • Access revocation - trigger revocation for the apps selected during creation, and see an access audit log
  • Exit interview - schedule and record exit interview responses
  • Knowledge transfer - track handoff items, with an AI-generated KT summary where available
  • Documents - generate or attach compliance documents (e-signature support on Growth plan and above)
  • Timeline / event log - every status change and action on the record, timestamped
