Knowledge Transfer

The Knowledge Transfer card on an offboarding record is a simple way to make sure nothing walks out the door with a departing employee - a running list of topics that need to be handed off, who's picking each one up, and whether it's done.

This is available starting on the Starter plan.


Creating KT items

From the employee's offboarding record, find the Knowledge Transfer card and:

  1. Click to add a new item
  2. Enter a topic - e.g., "How to deploy to production" or "Client X contact procedures"
  3. Optionally jot down a description and an assignee name (this is a free-text field, not a linked team member - it's just a label so everyone knows who owns the handoff)
  4. Track its status as Pending, In Progress, or Completed, and update it as work happens

There's no notification sent when you assign an item, and no due-date reminders - it's a checklist you and your team update manually.


Feeding the AI KT summary

If your org has AI features enabled (Team and Enterprise plans, with an AI provider configured), PurpletGo can draft a knowledge-transfer summary for an offboarding from AI Copilot. It pulls together your KT item topics and descriptions, any checklist tasks still open, and recent exit interview answers, and asks the AI to turn that into a short handoff summary. The more detail you put into your KT item descriptions, the more useful that summary will be.


Tips for effective knowledge transfer

  • Create KT items as soon as the offboarding is initiated - don't wait until the last week
  • Use specific topic names, not vague titles like "general knowledge"
  • Put enough detail in the description that someone unfamiliar with the role could follow it
  • Schedule a live handoff session for the most complex items and summarise the outcome in the item's description
